Personal data we process

Zadelman B.V. processes your personal data because you use our services and/or because you provide this data to us yourself.

Below you will find an overview of the personal data we process:

  • First and last name
  • Internet browser and device type
  • Bank account number
  • Phone number
  • E-mail address
  • IP address
  • Other personal data that the customer actively provides, for example by creating a profile on your website, in correspondence and by phone
  • Data about your activities on our website
  • Data about your browsing behaviour across different websites (for example because this company is part of an advertising network)

Special and/or sensitive personal data we process

Our website and/or service does not intend to collect data about website visitors who are under 16 years of age. Unless they have permission from parents or guardians. However, we cannot check whether a visitor is older than 16. We therefore advise parents to be involved in their children’s online activities, to prevent data about children from being collected without parental consent. If you are convinced that we have collected personal data about a minor without that consent, please contact us via webshop@zadelman.com and we will delete this information.

Zadelman B.V. processes your personal data for the following purposes:

  • To offer you the opportunity to create an account
  • To handle your payment
  • Sending our newsletter and/or promotional leaflet
  • To be able to call or e-mail you if this is necessary to carry out our services
  • To inform you about changes to our services and products
  • To deliver goods and services to you
  • Zadelman B.V. analyses your behaviour on the website in order to improve the website and tailor the range of products and services to your preferences.
  • Zadelman B.V. also processes personal data if we are legally obliged to do so, such as data we need for our tax return.

Automated decision-making

Zadelman B.V. makes decisions about matters that have (significant) consequences for individuals based on automated processing. These are decisions taken by computer programs or systems, without a human (for example an employee of Zadelman B.V.) being involved. Zadelman B.V. uses the following computer programs or systems:

Zadelman B.V. does not use automated decision-making (within the meaning of Article 22 GDPR) that produces legal effects concerning you or similarly significantly affects you.

We do, however, use the Zadelman Saddle Scan: based on your answers, this scan provides non-binding advice for a suitable saddle model. You always make the final choice yourself afterwards (so you can also choose a different model) and you can always contact us for personal advice.

How long we keep personal data

Zadelman B.V. does not keep your personal data longer than strictly necessary to achieve the purposes for which your data is collected. We use the following retention periods for the following (categories) of personal data:

  • Orders, invoices, payments and administration (including invoice details and payment references): 7 years (tax retention obligation).
  • Shipping and delivery details (e.g. address / Track & Trace communication): 1 year after delivery (for service, returns, warranty and any disputes), unless longer is necessary in the event of an ongoing dispute. PostNL indicates that it does not retain data longer than necessary.
  • Account data: as long as your account is active. After termination/deletion request: no later than 2 years (e.g. for service/disputes), then delete or anonymise (except data we must keep by law, such as invoices).
  • Customer service contact (e-mail/form/contact/telephone notes): 2 years after completion.
  • Newsletter/marketing (Klaviyo): until you unsubscribe. After unsubscribing we keep your e-mail address on a suppression list for up to 2 years to prevent you from receiving mail again.
  • Zadelman Saddle Scan: You can use the Saddle Scan anonymously. If you do not leave an e-mail address during the scan, we process your answers only to show advice immediately and we do not store those answers (or only in anonymised form). If you choose to leave your e-mail address during the scan, we use this to add you to our mailing list (e.g. to send tips, updates and offers). In that case we keep your e-mail address until you unsubscribe. After unsubscribing we keep your e-mail address on a suppression list for up to 2 years to prevent you from receiving mail again. If you leave your e-mail address, we may also store (part of) your scan answers or the scan advice so that we can send your advice back to you and improve our service. We keep this data for a maximum of 24 months after the moment of completion, unless we anonymise it earlier or you ask us to delete it.
  • Cookie consent (Cookiebot consent log): 12 months (standard), so that we can demonstrate consent; after that it is automatically deleted/anonymised according to Cookiebot settings.

Sharing personal data with third parties

Zadelman B.V. only provides personal data to third parties and only if this is necessary for the performance of our agreement with you or to comply with a legal obligation.

  • Mollie (payments): for processing payments and for fraud/compliance purposes. Mollie indicates that it can usually act as an independent controller in this context (not a “processor acting on behalf”).
  • PostNL (shipping/delivery): for delivering parcels and Track & Trace communication.
  • Klaviyo (newsletter & e-mail automation): for sending newsletters and service/marketing flows. Klaviyo offers a Data Processing Agreement (DPA).
  • wetracked.io (measuring conversions/advertising performance): to measure conversions more reliably and feed them back to advertising platforms. wetracked.io states that personal data may be processed in the United States.
  • Meta and Google (advertising platforms): only after your consent for marketing/tracking cookies, to measure ads and make them more relevant (conversion measurement/remarketing).
  • Microsoft Clarity (user insights/session analysis): only after your consent. Microsoft Clarity indicates it is GDPR-compliant as a data controller.

Some of our service providers (such as Klaviyo, Microsoft/Clarity and wetracked.io) may process personal data outside the European Economic Area. In that case we ensure appropriate safeguards, such as Standard Contractual Clauses (SCCs) and/or other valid transfer mechanisms, in accordance with the GDPR. Klaviyo states that it uses SCCs in its addendum.

Cookies, or similar techniques, that we use

Zadelman B.V. uses functional, analytical and tracking cookies. A cookie is a small text file that is stored in the browser of your computer, tablet or smartphone when you first visit this website. Zadelman B.V. uses cookies with a purely technical functionality. These ensure that the website works properly and that, for example, your preference settings are remembered. These cookies are also used to make the website work properly and to optimise it. In addition, we place cookies that track your browsing behaviour so that we can offer customised content and ads.

During your first visit to our website, we already informed you about these cookies and asked for your consent to place them.

You can opt out of cookies by setting your internet browser so that it no longer stores cookies. In addition, you can also delete all information previously stored via your browser settings.

Viewing, modifying or deleting data

You have the right to view, correct or delete your personal data. This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or to another organisation named by you.

You can send a request for access, correction, deletion, transfer of your personal data, or a request to withdraw your consent or object to the processing of your personal data to webshop@zadelman.com.

To ensure that the request for access has been made by you, we ask you to send a copy of your ID with the request. In this copy, black out your photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as quickly as possible, but within four weeks.

How we secure personal data

Zadelman B.V. takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised modification.
